Meeting Minutes, September 14th 2020 (conference call during the pandemic)

Board members: Brittiny Clinton , Brant Dever, Chuck Eaglin , Rick Grey, Jessica Jordan, Kathleen Martin, and Amy Wenck. Chad Ertel from Kirkpatrick Management and ten owners/residents participated.
Jessica opened the meeting at 6:30pm and welcomed and thanked everyone for participating.
Questions and Discussion:
- Request by an owner for folks to identify themselves and their address before speaking on the call.
- Some follow-up questions on the rental cap amendment vote. Vote is allowed to remain open for 180 days and this will allow time for additional owners to participate by submitting a proxy vote. Current votes remain in place unless an owner decides to update their vote with a replacement proxy vote. Need 51% participation of the owners to complete the vote.
- Question about weeding. Our landscape company (Ken-Cut) is doing it and Chad will speak to them about areas currently needing weeding.
- Question about the amount of insulation in attics. Attic inspections are coming up to check on this.
- Two items passed along to be checked: an area where a gutter needs repaired and an area where trash is being left out
- Question about plantings that were done in the beds on the promenade/main boulevard. Planting is complete yet the hot summer weather has stressed them and soaker hoses have been used to water them.
Board Session:
- Reviewed and approved minutes from the last meeting in August.
- We will receive the August financial report this week and information about it will be included in next month’s treasurer’s report.
Management Report:
- KMC educational seminar: none upcoming at this time. Looking into having some virtual/online seminars.
- Reviewed maintenance log.
Old Business:
- Tuck Pointing: Shackleford has been approved to work on a building on the East square. Date of work: to be determined.
New Business:
- Roofing: a couple roof leaks were reported. Work orders were given to Rocklane. Making repairs we can now (some may need to be temporary in nature) while roof inspections are underway.
- Insulation check: setting up schedule to check building by building after the Covid-19 threat has passed.
- Landscaping contract: proposals were requested for when our current contract is completed at the end of 2020. We have the proposals and a comparison spreadsheet. The board will review and discuss further in the October monthly meeting.
- Rental cap meeting: need to reach participation of 51% of owners to complete the vote. Owners can still submit their proxy votes during the 180 day meeting extension time.
- Landscaping: five areas planned for renewal/refreshing- this has been completed.
Executive Session:
- Reviewed delinquencies.
