Meeting Minutes, October 12 9th 2020 (conference call during the pandemic)

Board members: Brant Dever, Rick Grey, Jessica Jordan, Kathleen Martin, Amy Wenck (unable to participate: Brittiny Clinton, Chuck Eaglin). Chad Ertel from Kirkpatrick Management and sevem owners/residents participated.
Jessica opened the meeting on the conference call.
Questions and Discussion:
- The email that went out about the meeting accidentally said it started at 7pm so we got started a bit after 7pm.

Board Session:
- Reviewed and approved minutes from the last meeting in August.
- We will receive the August financial report this week and information about it will be included in next month’s treasurer’s report.
Management Report:
- Reviewed maintenance log.
- Asked for a follow-up check on a recent plumbing item in the front east court.
Old Business:
- Tuck Pointing: Shackleford has been approved to work on a building on the East square. Date of work: to be determined.
- New Knoxbox was ordered.
- Ken Cut (our landscaping company) has been removing overgrown bushes.
New Business:
- Roofing: request for appraisal was sent to West Bend (our insurance provider).
- Will be gathering proposals for insurance coverage (going to be changing providers starting in 2021).
- Insulation check: setting up schedule to check building by building and going to start with areas that can be accessed through common entryways.
- New pool furniture has been delivered to the clubhouse and will need to be placed in our storage areas for the winter.
- Landscaping contract: proposals were requested for when our current contract is completed at the end of 2020. Reviewed proposals and will be gathering further information.
- Rental cap meeting: need to reach participation of 51% of owners to complete the vote (currently at 17.83%). Owners can still submit their proxy votes during the 180 day meeting extension time.
- Landscaping: five areas planned for renewal/refreshing- this has been completed.
Executive Session:
- Reviewed delinquencies: currently 14 totaling $4,965.00.

Next meeting: November monthly meeting on Monday 11/9/20 at 6:30pm (by conference call during the pandemic).
