Meeting Minutes, November 9th 2020 (conference call during the pandemic)

Board members: Brant Dever, Chuck Eaglin, Rick Grey, Jessica Jordan, Kathleen Martin, and Amy Wenck (unable to participate: Brittiny Clinton). Chad Ertel and William Aelick from Kirkpatrick Management and seven owners/residents participated.
Jessica opened the meeting on the conference call.
Questions and Discussion:
- Introduction of William Aelick as our new property manager with Kirkpatrick Management. His contact information: waelick@ekirkpatrick.com office phone number (317) 570-4358.
- An area was mentioned where some weeds need pulled.
- Rental cap amendment update: information will be going out with upcoming annual meeting mailing. Owners still have an opportunity to submit their vote and need at least 51% to participate.
Board Session:
- Reviewed and approved minutes from the last meeting in October.
- Amy presented the treasurer’s report.
Management Report:
- Reviewed maintenance log.
Old Business:
- Tuck Pointing: Shackleford completed this project.
- New Knoxbox was ordered. William will check on delivery.
- 2021 budget: currently being reviewed and discussed
New Business:
- Roofing: request for appraisal sent to West Bend (our insurance provider). Appraisers have been assigned.
- Insulation check: Kevan has a spreadsheet with the goal of inspecting 30 areas each month.
- Landscaping contract: new bids to be forwarded. We’ll review and vote by email.
- Rental cap meeting: need to reach participation of 51% of owners to complete the vote (currently at 17.83%). Owners can still submit their proxy votes during the 180 day meeting extension time.
- Landscaping: five areas planned for renewal/refreshing- this has been completed.
Executive Session:
- Reviewed delinquencies: currently 25 totaling $8,090.88.

Next meeting: no meeting in December. Next meeting will be the annual meeting on Monday 1/11/21 (by conference call during the pandemic).
