CANTERBURY HOMEOWNERS ASSOCIATION
Meeting Minutes, May 11th 2020 (conference call during the pandemic)

Board members participating: Brittiny Clinton, Brant Dever, Chuck Eaglin, Rick Grey, Jessica Jordan, Kathleen Martin, and Amy Wenck. Jerry Barth from Kirkpatrick Management and ten owners/residents participated.
Jessica and Jerry opened the meeting at 6:35pm and welcomed and thanked everyone for participating.
Community Input/Questions:
- Asphalt crack seal/seal coat/ restripe update? We have proposals and reviewed and discussed them later in the meeting.
- Update on roof work? On hold until hail damage inspection is complete.
- Refreshing of landscape in five areas of the community- what category will it come from in the budget? It’s a specific line item in this year’s budget.
- Update on insulation checks in building attics? On hold during the pandemic.
- Suggestion to have specific language with the rental cap that mentions that rentals to family members are allowed. Jerry will check on this.
- There are tree limbs and pieces in several spots that need picked up and cleaned up.
- Comment that the grounds and pool look good and a suggestion to add additional pool furniture and umbrellas.
- When will pool be opening? Discussed later in the meeting.
Board Session:
- Reviewed and approved minutes from the last monthly meeting in April.
- Amy presented the treasurer’s report.
Management Report:
- KMC educational seminar: July seminar has been canceled.
- Reviewed maintenance log.
Old Business:
- Pool repairs: Barton Pools has completed work on the pool. Opening date is uncertain due to the pandemic and challenges related to it. On hold for now as we await further guidance and guidelines from the state of Indiana and Marion county.
- Tuck Pointing: reviewed and discussed proposals. Jessica made a motion to have Shackelford do tuckpointing work on one building for $2700.00. Once completed we will assess and see about proceeding with further work by them. Kathleen seconded the motion and all approved.
- Roof work on hold until hail damage inspection is complete.
New Business:
- Will check on a request to have dirt lowered from the fence to the sidewalk near a unit in the court.
- Will check on some patio fences that may need to be power washed due to some algae growth on them.
- Balcony deck and railing inspection is complete. Recommendation is to replace nine balcony railings (six need to be done now) and to replace the deck boards on fourteen balconies. Amy made a motion to proceed with replacing the six balcony railings we need to replace now. Jessica seconded the motion and all approved.
- Asphalt crack seal/seal coat/restripe: reviewed and discussed proposals. Chuck made a motion to approve the proposal from Globe Asphalt for $24,456.40. Amy seconded the proposal and all approved.
- Clubhouse railing: have proposals yet will hold off for now as we proceed with some needed balcony railing replacements.
- Insulation check: setting up schedule to check building by building after the Covid-19 threat has past.
- Asphalt crack seal/seal coat/restripe: have gathered proposals and going back for some additional details.
- Railing at entrance to clubhouse: reviewed proposal and will hold onto it until after the inspection of all of the balconies is completed.
- CD: certificate of deposit was rolled over at 1.71% for one year.
- Insulation check: setting up schedule to check building by building after the Covid-19 threat is past.
- Landscaping contract: proposals where requested to review for when our current contract is completed at the end of 2020. Jerry has the proposals and will be sending summary information to the board to review.
- Rental cap meeting: tentatively set for Monday August 10, 2020. Planning on sending out proxies with a return envelope.
- Landscaping: five areas planned for renewal/refreshing in the upcoming spring/summer work season. To save on the cost the asscoiation will arrange to purchase the plants and then will be coordinating with Ken-Cut to have them plant them.
- Will be removing a tree on the west square that had caused a sewer line root clog. In the future would like to replace it with a type of tree with more shallow roots.
- Entire community roof replacement: Proposals received from Rocklane and Cochran Exteriors. Recap will be sent when third proposal is received.
- *Community benches: in the past there were benches in specific spots in the community and Chuck suggested that it would be beneficial to have these again. Proposed that homeowners could buy them in memory of a loved one with specific spots available in the community to place them and a specific style of bench. Chuck made a motion to proceed with gathering more details on this. Kathleen seconded the motion and all approved.
Executive Session:
- Reviewed delinquencies.
