Meeting Minutes, July 20th 2020 (conference call during the pandemic)

Board members participating: Brant Dever, Rick Grey, Jessica Jordan, Kathleen Martin, and Amy Wenck (unable to participate: Brittiny Clinton and Chuck Eaglin). Jerry Barth and Aaron Rader from Kirkpatrick Management and five owners/residents participated.
Jessica opened the meeting at 6:30pm and welcomed and thanked everyone for participating.
Rocklane completed wind/hail inspections of all roofs in the community. Justin and Randy from Rocklane shared about what was learned from the thorough inspections and that they have been working with the adjuster and our insurance company. They explained about a demand appraisal and how it could be beneficial to request this as part of the process. This can take a few months to work through (and has a cost) and can do some needed temporary repairs for now. Rick made a motion, Jessica seconded the motion, and all approved to request a demand appraisal for our roofs.
Aaron Rader was introduced as our new property manager with Kirkpatrick Management.
Community Input/Questions:
- A couple Saturdays ago an owner noticed a drop in water pressure and called the after hours emergency number for assistance. The person on the emergency line was confused and did not understand about how we have shared plumbing/water in Canterbury. Jerry mentioned that there was some miscommunication and will make sure the emergency call center is aware of how our plumbing/water works in Canterbury. It was suggested to have a key to the water heater rooms in the office at the clubhouse in case of an emergency.
- Suggestion to have a dog park/dog run area in Canterbury.
Board Session:
Management Report:
- KMC educational seminar: none upcoming at this time. Looking into having some virtual/online seminars.
- Reviewed maintenance log.
Old Business:
- Tuck Pointing: Shackleford has been approved to work on a building on the East square. Anticipating this work to take place in the next couple weeks.
New Business:
- Insulation check: setting up schedule for Kevan to check building by building after the Covid-19 threat has passed.
- Landscaping contract: proposals were requested for when our current contract is completed at the end of 2020. We have the proposals and Jerry also created a comparison spreadsheet. The board will review and discuss further in the September monthly meeting.
- Rental cap meeting: set for Monday August 10, 2020. Mailing about it went out on June 1st . Owners are also able to participate with the proxy form (included in the mailing) by completing and returning it in the included postage paid envelope. Discussed ways to maintain social distance while conducting the meeting and that owners will be able to drop off their proxy at the meeting.
- Landscaping: five areas planned for renewal/refreshing. Approved for Jessica to pick up the plants for this work.
- Balcony inspection: Keith Wells approved to repair the six most in need of repair plus two additional in need of deck board replacement. Anticipating this work to take place in the next couple weeks.
- Approved purchase of additional pool deck furniture.
Executive Session:
- Reviewed delinquencies.
Meeting adjourned. Next meeting: rental cap meeting on Monday August 10, 2020 at 7pm as a conference call for safety reasons. Proxies can be dropped in the clubhouse mail slot prior to 7pm.
