Meeting Minutes, April 13th 2020 (conference call during the pandemic)

Board members participating: Brittiny Clinton, Brant Dever, Chuck Eaglin, Rick Grey, Jessica Jordan, Kathleen Martin, and Amy Wenck. Jerry Barth from Kirkpatrick Management and seven owners/residents participated.
Jessica and Jerry opened the meeting at 6:35pm and welcomed and thanked everyone for participating.
Community Input/Questions:
- Trash: concern shared that someone is placing large bags out (for Monday morning pickup) and blocking space for trash cans in their pickup area. Trash should be placed out in your trash can. If you have have more then will fit in your can then you can place out the overage in a tightly sealed trash bag.
- Contractors: Jerry shared about how he checks/follows up on work that contractors complete for the association in the community.
- Tent needs removed: it is flat on the ground on the East side by the fence.
- An owner passed along their request regarding a recent drain back-up.
Board Session:
- Reviewed and approved minutes from the last monthly meeting in March.
- Amy presented the treasurer’s report.
Management Report:
- KMC Educational Seminar: May 7th event canceled and next is tentatively in July.
- Reviewed maintenance log.
- Pool repairs: Barton Pools continues to work on the pool improvements. Concrete work is completed and plastering is next.
- Tuck Pointing: have one proposal and gathering a couple additional.
- Pool crack repair: we approved by email the repair by Barton Pools for $2000.00.
- Water main break on East Square: we approved by email the emergency work by McNeely for $3350.00.
- Roof repair on East Square: we approved by email the emergency work by Rocklane for $17,655.00.
- Reviewed proposal for roof work needed on South Square from Rocklane for $14,855.00. Jessica made a motion to approve the proposal, Brittiny seconded and all approved.
- Reviewed proposal for roof work needed on West Square from Rocklane for $19,110.00. Jessica made a motion to approve the proposal, Chuck seconded and all approved.
- Street sweeping: will push forward later in spring/summer.
- Reviewed proposal for a balcony railing replacement. Will hold onto this until after the inspection of all the balconies is completed.
- Asphalt crack seal/seal coat/restripe: have gathered proposals and going back for some additional details.
- Railing at entrance to clubhouse: reviewed proposal and will hold onto it until after the inspection of all of the balconies is completed.
- CD: certificate of deposit was rolled over at 1.71% for one year.
- Insulation check: setting up schedule to check building by building after the Covid-19 threat is past.
- Landscaping contract: have requested proposals to review for when our current contact is completed.
- Rental cap: discussed upcoming course of action to prepare to call for another community meeting.
- Landscaping: five areas planned for renewal/refreshing in the upcoming spring/summer work season.
- Landscaping proposal: seeking proposal from Ken Cut and Green Touch for some additional work including some trimming and removal of some dead bushes.
- Tree removal: removing a tree by an entrance on Square West causing sewer line root clog.
- Community cleanup is planned for June 11- June 21, 2020. As in the past a dumpster will be in place for your larger items.
Executive Session:
- Reviewed delinquencies.
