Canterbury Board Meeting Minutes for July 2023

6:30pm, July 10th, 2023 in the Clubhouse

Attendees

  • Board members present: Susan Brandt, Nancie Bair, Susie Waltz, David Swann, KMC Property Manager Kevan Carringer, Bob Kincaid, Scott Greenwalt.
  • Homeowners present: Amiee Greenwalt, Allison Chiles, Lucia Wellington, Chuck Reifels, Cynthia Reifels

Meeting called to order at 6:30 pm.


Community Input

  • Lucia Wellington was concerned about the lighting in the area, lighting has not changed since 1996. The old posts were given as a possible reason, and possible replacements in the future should be considered by the board. Kevan also suggested using LED lightbulbs in posts. Kevan will investigate installing more powerful light bulbs.
  • Amiee Greenwalt brought up a resident who needs laundry room key, renter will reach out to owner, Kevan will provide replacement key for $10.
  • Susan Brandt thanked Susie Waltz for The Community Newsletter and Bob Kincaid for removal of the Ivy on one building.

Board Session

  • June 12 th , 2023, Minutes: Read by David Swann. Susan Brandt moved to accept the Minutes. Nancie Bair seconded.
  • June Treasury Report: Read by Bob Kincaid. Motioned to be approved by David Swann. Seconded by Nancie Bair.
    • Susie Waltz motioned to move $25k from Northwest Banking to Merchants ICS, David Swann seconded, Board unanimously approved
    • Nancie questioned where the Reserve should be vs. where we are at, we were at 393k at the beginning of the year

Management Report

Susie Questioned an expense for Critter Removal in 2 units (hornets nest, squirrels, birds and racoons, and toilet clean in 8507 Canterbury due to a dry out by sexton (paid for by the HOA).


Old Business

A. We Care Cleaning assessment or explore the possibility of looking for another vendor to start October 2023.

  1. Met with Nueza (sole proprietor, newer possible cleaner, might be easier to hold accountable) on 7/6/23 to get a quote for cleaning. Waiting on quote from other cleaning services (expecting $600 a month, currently paying $395). Kevan will provide more quotes for August meeting.

B. Carport Damage – awaiting quote from Blake’s Best on post

  1. 2 post are not touching the ground
  2. 5 total are in bad shape
  3. Blake’s Best is putting together multiple quote options. A Welder will be out to look. Sidewalk concrete quote from Blakes Best -whole section would be $6800 (for sidewalk and step).

C. Gutter Cleaning – Northside Gutter Cleaning Quote attached.- $2,845.00 November/December. If roofs are redone, gutters will already be cleaned. Board will circle back to this issue next meeting.

D. Keith Wells is planning on performing balcony repairs during the first two weeks in August. Repairing: 1134 D, 1142 D, 1146 C Canterbury Sq Sout

E. Central Patrol Agency – Quote – Security covers next door areas and drive through area. Scott-Not locked them into monthly contract, might investigate contracting them during problem months. Susie brought up July 4th incident where police were call because of fireworks in common area.

F. Schedule RSI Zoom Meeting – Susan has the questions listed for RSI that Kevan will forward to RSI, asking mostly to readjust a few amounts given in the reserve study.

G. Wood rot repair – Keith Wells inspecting the 3 windows with visible wood rot to see if they can be repaired or need to be replaced. Keith has not gotten back to us as of 7-10.

New Business

A. Sexson Mechanical Quotes – Preventative

  1. 8511 Canterbury Sq W – Repair Sanitary Cast Iron Waste Line – $3,761.79
  2. Mechanical Room Inspections and water heater spreadsheet. David Swann motioned to approve repair, seconded by Nancie Bair and Bob Kincaid. Board unanimously approved. Susan suggested taking $ out of Reserve. Bob made motion to take out of Reserve, Susan Brandt Seconded. Board unanimously approved. Kevan and Jason (of Sexson) will look into possible walkthrough of plumbing/electrical issues and create spreadsheet of problem areas of concern for future boards. $760 from the reserves to evaluate property motioned by Bob Kincaid and seconded by Susan Brandt, board unanimously approved.

B. Clean-Up Days – HOA is covered for Volunteer Liability by existing insurance. Several Board members, led by Nancie Bair, will make (non-ladder, non-power tools) necessary maintenance to grounds. Kevan suggested trimming some bushes for security along 1110 Canterbury North, resident complained about security issues concerning overgrown bushes. Nancie is using Landscape Solutions ($2500) list for grounds keeping, saving the HOA just as much money. Nancie will provide email to Susie’s Newsletter. Cinthia asked about possible waiver for using power tools or ladders, Kevan will ask Brad to investigate. Susie had this concern-If this involves Bushes in owners condos between Bush replacement (where an architectural request must be made, and a bush trim). Will investigate contracting vs. voluteers. Next Clean-Up Day will announce next Clean-up Day in Susie’s Community Newsletter.

C. Concrete Trip Hazards – Blake’s Best was onsite 7/6/23 taking pictures and measurements. Should have quotes for sidewalk repairs in the next week.

D. Pool Fob Discussion

  • Tinder Pool Fob Quote – $2,897.20 + 5.00 for every fob + wifi from AT&T. Susie – what would the advantage be if people use other residents key, questioned the advantage of service (as a pool user)? Conclusion: Board will drop the issue due to the fix not being worth it.
  • AT&T – Internet Install and Monthly Pricing Quote. Pool rules were released to both Owners and renters (via their respective landlords).

E. Board Vacancy – Susan brought up board vacancy to attending owners.
