Canterbury Board Meeting Minutes for May 2023

6:30pm, May 8th, 2023 in the Clubhouse

Attendees

  • Board members present: Susan Brandt, Connie Drury, Bob Kincaid, Nancy Bair, Susie Waltz, Scott Greenwalt, David Swann, and KMC Property Manager Kevan Carringer.
  • Homeowners present: Kim Riddle, Kris Robinson, Amiee Greenwalt, Dominic Luchese, Liam McGuire, Wayne Robinson, Community Input

Meeting called to order at 6:30 pm.


Community Input

  • Kris Robinson has sent in architecture requests. She would like to trade bushes for better ones. Was asking permission to plant new bushes, Susan Bradnt pointed out to Article 6.1 (M) of the bylaws, “No owner should do planting without the expressed permission of the Board.”
  • Dominic Luchese of Canterbury South said that there is a loose deck rail, and his deck is coming off the structure.
  • Kim Riddle recognized that the pothole situation is getting worse. Kevan did not know who was filling pothole with less than adequate cold patches. Kevan, talked about opening the West Gate for residents, around the 5/22.
  • Amiee Greenwalt said that a resident of Canterbury Square East has a Pit Bull that is aggressive, the dog rams against the fence, and it is bowing out the boards. There is a gap under the fence as well. Board will investigate charging the owner for fence repairs due to damage done by the dog. Amy said the Dog grabbed her dog by the neck.
  • Kim Riddle volunteered to take care of the pool and meet with Kevan for instruction.

Board Session

  • April 10th , 2023, Minutes: Read by David Swann. Susan Brandt moved to accept the Minutes. Susie Waltz seconded.
  • April Treasury Report: Read by Bob Kincaid. Motioned to be approved by Susan Brandt. Seconded by David Swann.
    • Nancy Bair questioned why the Common Area Maintenance was over budget. Most of the overage was caused by 2 electrical problems that were fixed by Sexson Mechanical rewiring the lamppost.
    • 182k due to the reserve account
    • 123k needs to be paid within 5 years, (2021)
Maintenance Report
  • Maintenance log
  • Roof issues due to winds and rain
  • Fencing down in multiple areas,
  • Few Plumbing issues,
  • Scott Greenwalt mentioned a water spot in his unit due to roof damage.
  • $500 bill for Keith Wells to fix the Archway over 1129 Canterbury Court
  • 1110 Canterbury Square North – replacing light bulb on the patio, HOA was charged for Lightbulb
  • Susie brought up 8530 Canterbury square West $778 check for Roofing leak from October paid to Faulkner for drywall repair, etc, should be billed to the owner.
  • Brought up in March, weekly maintenance, including picking up sticks, emptying dog stations. The sticks are not being picked up; however, checks are still being written, Kevan explained nature of work orders. Work orders are done first before weekly maintenance tasks. Maintenance man is here half a day twice a week. Scott recommended ACE handyman services.
  • Scott – as a board we need to get these repairs done, can’t keep furloughing repairs.
  • Bob brought up caulking repair being the owner’s responsibility, materials should be charged to the Board, Labor should be charged to the owner in the case of 8514 Canterbury Square West.
  • Kim – Resident asked her to address some benches that have been removed, that used to be here. The board did say that the benches were donated and were taking down due to ill-repair.
  • Nancie Bair – questioned the clearing Ivy on pool desk
  • Violations – None
Old Business
  • Knox Box info – Keven went over Knox Boxes. Kevan is meeting to check on Knox Boxes with Deputy Chief May 9th
  • Susie Waltz presented her findings surveying the Canterbury Commons Address Numbers, handed out her findings. Also included prices for replacement. Susan Brandt made a motion accept first 7 addresses in Susie’s report and that we implement Susie’s ideas to remedy those 7 locations, Bob seconded. Connie presented Amazon option for Mailboxes. Susie will send letter to Kevan to distribute to address that need to be replaced.
  • Update Volunteer Insurance – Susan, Susie and Connie helped form a question to Kelly Soto, centered around allowing owners to volunteer to clean common areas. Another Condo Board President recommended Steffey insurance for $500 a year that has Volunteer Accident Coverage. Board will consider finding a policy to cover volunteers.
  • Blake’s Best – Asphalt update tentatively scheduled for 5/22/23 – Weather may push it back a few days. Asphalt work can be done in 1 day if we open the west gate.
  • Sexson Mechanical – 1116-1126 Canterbury Court Recirculating Line Replacement. Waiting for a start date. The company’s contact is out of town until May 8th.
  • Archway ceiling at 1129 CCT – Repaired by Keith Wells for $500
  • Keith Wells – Balconies require Complete Inspection from inside. A different company was presented by Susan Bradnt, run by David Swartz who works at the Reserve near Springmill and 106 th to work on the balconies. The price for Keith Well’s company would add up to $37,950 with the one condo added today per the quote given. An email will be sent to the owners about scheduling visits to the worse safety issues. Having owners submit pictures/concerns about safety issues surrounding balconies was discussed. Kevan will go to Keith Wells and asked about what the worst three to four balconies are.
  • Reserve Study – Kevan Met with RSI on 5/3. Currently they are collecting numbers will put together a preliminary report. A Zoom meeting will be scheduled with board members to look over the first report. The board will receive the preliminary report in about a month. Bob, Kevan, Nancie, and Susan met with Eric and Britney from RSI on 5/3/23.
  • We Care Cleaning – Update, cleaning contract expires 9/22/23.
New Business
  • Pool Preparation:
    • Pool rules were passed out. Pool contact signed through 2024. Pool opens Saturday before Memorial Day.
    • Kevan suggested sending pool furniture to pool furniture maintenance people to have them sanded and stained professionally at the end of the Summer.
    • Distribute and post rules. (Pool rules will be sent out in an Email blast, and rules will be posted).
  • Grills – on balcony, can be owned if the owner has a townhome or a bungalow, being stored in a common area, bylaws do dictate no grills are to be on the balconies. IFD has looked at Canterbury Court. An email blast to remind residents about grill rules will be distributed. Susie suggested a date for the email be sent immediately.
