Canterbury Board Meeting Minutes for March 2023

6:30pm, March 13, 2023, in person in the Clubhouse

  • Board members present: Susan Brandt, Connie Drury, Bob Kincaid, Susan Waltz, Scott Greenwalt, Bobbie Anderson, David Swann, and KMC Property Manager Kevan Carringer.
  • Homeowners present: None

Board Session

  • February 13th, 2023 Minutes: read by David Swann, motioned to be accepted and amended by Susan B. Seconded by Bob Kincaid.
  • Treasury Report: read by Bob Kincaid. Motioned to be approved and Accepted Susan B Seconded by Susan Waltz.
    • aulkner Restoration charged HOA for restoration of water/remediation damage. Bob brought up possibly using another restoration company to be used for water damage. Board questioned how are we following up on plumbing repairs after they are made?
    • Discussion on the financial burden of turning on and off the water.
    • Susan Waltz asked Kevan why we paid for snow removal of less than 1” when our contract states that the company will not come out if there is less than 1
Maintenance Report
  • Will reach out to Rocklane on outstanding issues
  • Wood rot repair:
    • Keith Wells will be consulted with on fixing the wood rot on the exterior of one building’s window.
    • Question on if Keith Wells can look at other rotted windows
  • Susan W. Brought up Invoice 38284, resident approached Susan about stick pickup not being done, though they are being paid on a weekly basis.
Old Business
  • Pothole and asphalt repairs
    • Pothole quotes for:
      • Ochs: company does not exist anymore
      • Howard: Didn’t want to walk the property, updated quote
      • Asphalt solutions: Walked the property, will provide a quote
      • Blakes Best: will walk the property with Kevan and updated their quote Provided by Kevan in email
    • Kevan will ask about milling and paving the front entrance
    • Kevan will get updates to quotes
  • Jetz – Redecorating money, has not been deposited for $1800. Susan brought up asking the residents who used the laundry rooms about what is needed, The Board needs to investigate using funds for laundry room improvement.
  • Sexton Mechanical – replacing the Reciprocating lines on 1116-1126 Canterbury Court. $10,638.80 – Warrnty? Scott requested Sexton be asked about warranty, Kevan will get back with Sexton on the costs of Expansion Tanks and Pumps, We Care Cleaning-Everyone agreed to replace them, Kevan said he will get quotes for other cleaning companies.
New Business

Knox box Lock Access for emergencies, need to discuss ways for emergency services for entry into buildings. HOA Board will ask Fire Department and Police about Knox box access for fourplexes, Susan brought up concerns over unlocked fourplexes attracting unhoused people. Bobbie brought up that most fourplexes are unlocked and has only had one unhoused person in 5 years. A board member will check with local fire station for info about Knox Box security. The board will have to explore. This issue will be revisited and will be further discussed next meeting.

Update of Keith Well’s Balcony Repair – Update Balcony survey, money is in the reserve for Balcony repairs/repairs, most need to be stained and weatherized, some need reeling, “not dangerous, just look bad”)

Spring Goals for March:

  • Prepare for Pool Opening
  • Review Pool Rules
  • Replacement Key Charge-$10
  • Volunteers for Pool testing -Kim and Barb tested the water 2x a day willing to do again.

Reserve Study

  • Examples of Village Reserves and RSI Reserve studies sent to Board through email on 3/9/2023
  • Board will need to look at these more before next HOA Meeting
