Canterbury Board Meeting Minutes for February 2023

6:30pm, February 13, 2023, in person in the Clubhouse

Attendees

  • Board members present: Susan Brandt, Connie Drury, Bob Kincaid, Susan Waltz, Scott Greenwalt, Bobbie Anderson, David Swann, and KMC Property Manager Kevan Carringer.
  • Homeowners present: Laura Relford, Amy Greenwalt

Meeting called to order at 6:30 pm.


Community Input

  • Laura Relford Rental condo at 8502 Canterbury Square East flooded with human waste due to the main line not being cleaned out. Kevan Carringer explained the history of repairs on the line, with the last time the line was cleared was on January 31st . Kevan was waiting on a quote for a clean out valve to be installed, and the board will need to vote on approving funds for the repair (Board voted and approved unanimously Friday, February 17 th , 2023 for Sexton Plumbing to install the valve and make repairs). Kevan proposed to have routine cleanouts for the central lines. Bobbie added seasonal cleanouts during the Spring/Summer/Fall Months. Kevan added the maintenance invoices can be found on the KMC/Frontsteps app. Kevan said he would follow up with the plumbing quote by Sexton Plumbing and will loop in Laura Relford.

Board Session

  • November 14 th , 2022 Minutes: read by David Swann, Susan Brandt Approved, Connie Drury Seconded.
  • Treasury Report: read by Bob Kincaid. David Swann approved, Susan Waltz Seconded.
Maintenance Report
  • A letter informing the Residences about the $10 replacement fee for pool keys will be distributed
  • Address numbers on the townhouses will need to be uniform and visible
  • Restroom clogged in the club house is scheduled to be fixed 2-15-23
  • Paint chipped over entrance to the clubhouse
  • Scott Greenwalt mentioned his roof leaks during strong windstorms
  • Kevan distributed the KMC Maintenance Report
  • Bob Kincaid had questions about unit 1110, which gave way to a discussion about the replacing of lightbulbs and smoke detector test for the elderly residents. The Fire Department will test smoke detectors free of charge for elderly. The board discussed a possible resident volunteer to help older residents with their Lightbulbs and smoke detectors. Connie Drury suggested reaching out to the Firemen’s’ Credit Union, since they have a resource guide for retired Firemen who do Handyman and Handyman-adjacent work. Kevan said he would secure a copy of FCU Resource Guide.
Old Business
  • Mailbox Keys- KMC will repair mailboxes, Owners are responsible for their Mailbox keys. Reminders about the maintenance and transference of keys should be sent out to residents renting out units or moving from units.
  • Asphalt-Kevan will reach out to Howard for quotes on repairing asphalt. Time limits were suggested for asphalt quotes, with the said quotes being made before the March 2023 HOA Meeting.
New Business
  • Jetz update – New laundry equipment was installed.
  • Outdoor water spigots still need to be covered.
  • 1126 and 1116 Canterbury Court Reciprocating lines need to be replaced, with a possible replacing of the entire line. Bobbie Anderson motioned to vote on starting a study on what needs to be done with the plumbing lines in the corner of the complex, Board voted and agreed unanimously.
  • 1129 Canterbury Court Archway Status, Slow drip from unit has damaged the outside of the structure. Kevan has reached out to the owner
  • We Care Cleaning – Kevan will apply pressure to Cleaning Service, will withhold payment until services are done.
  • The Board will explore surveying and recording the water heaters that have been replaced over the last few years
